You can request an account through the Enterprise Service Desk (MNIT Mall) by:

• Selecting the Submit a Request Online button on the Get Help page
• Search for Conferencing Support from the Search Field
• Select Conferencing Support and fill in the required information.
• Select Submit

Get Help Online

If you are requesting on behalf of someone else you will need their name, email address, and office phone number for billing purposes.

A link to minnesota.webex.com and your username are included in your welcome email following the request of your account. Selecting the link provided in the email will prompt you to create a password.

• Encourage communication with attendees through the “Raise Hand” feature in the Participants panel or through chat.
• Assign privileges to determine what participants can view, save, download, and comment on during a Webex Meeting.
• Use a quality webcam, microphone, or headset and a wired connection for optimal audio and video quality.
• Protect confidential information: share only selected applications or close applications not needed for the meeting if you share your desktop.

There are two important tasks you need to complete if you are moving from ResPlus/Intercall to Webex with CCA:

Log into your Intercall account and download any saved recorded meetings. These will no longer be available once your ResPlus/Intercall account is deleted.

If you previously used Webex with a ResPlus/Intercall audio account (using a phone number with an 888 prefix) and have transitioned to Webex (phone number with an 844 prefix), you will need to update your Outlook meetings with new Webex meeting numbers/codes and access phone numbers.

Before you begin, be sure to set up your PCN and have the Webex Productivity Tools installed.

Updating Your Outlook Meetings

1. Open the appointment in Outlook
2. Select Cancel Webex Meeting to remove the old meeting information
   1. For scheduled Personal Room sessions, select Cancel Personal Room
3. Select Save
4. Once the old information has been removed, select Add Webex Meeting to reschedule the Webex portion
   1. For personal room sessions, select Add Personal Room
5. From the Webex Settings Window, select Webex Audio under Audio Connection Type
6. Select OK to continue
7. Select Send Update to send the new audio and Webex meeting information to your participants

Recurring Meetings

Follow the same process above to update recurring meetings. Be sure that you choose to edit the entire series when doing so. This will ensure that the changes will be made to future meetings under the same meeting number.

What Webex Desktop Applications are available?

There are several Webex desktop applications available. Some support basic functionality while others enhance the Webex experience. For most account holders, Webex desktop applications are installed automatically or are available through Software Center. Account holders who need to install the applications manually can do so by downloading from the State of Minnesota Webex site. Your local help desk will be able to assist you with the installation. More information on how to install Webex Meetings Desktop Applications can be found at the bottom of this section.

Cisco Webex Meetings Desktop App

The desktop app allows you to start and join meetings quickly and easily. You can schedule, start, and join meetings from your desktop or directly from Microsoft Outlook.

How to login to the Webex Meetings Desktop App

1. Select the Windows or Search button in the bottom left corner of your screen.
2. Search for and choose Cisco Webex Meetings Desktop App from the Search field results.
3. Login to Cisco Webex Meetings Desktop App using your email address and site password.

Cisco Webex Productivity Tools

The Cisco Webex Productivity Tools installs plug-ins for use with Outlook, Word, Excel, PowerPoint. In Outlook you can schedule a Webex Meeting with this app installed.

Cisco Webex Poll Questionnaire Editor

The Webex Poll Questionnaire Editor can be used to create, edit, and save a poll for use with Webex Training Center (Webex Training).

Cisco Webex Recording Converter

You can use the Webex Recording Converter to convert your ARF format recordings to MP4 format.

These applications are available by submitting a request to the Enterprise Service Desk.

Cisco Webex Recorder and Player for Webex Recording Format

Webex Recorder and Player for the Webex Recording Format is a standalone program that allows users to record audio and video data for demonstrations, training, and conferencing in WRF (Webex Recording Format) file format.

Cisco Webex Recording Editor

The Webex Recording Editor is a standalone program used to edit recordings created with the Webex Recorder. These recording files are saved in the WRF (Webex Recording Format) file format. This application can also be used to convert WRF files to WMV format.

Webex Support Manager

Webex Support Manager is needed to conduct a support session in Webex Support.

I use a Mac. Are there desktop applications available for me?

Yes. Cisco Webex Productivity Tools for Mac is available for download.

How to install Webex Meetings Desktop Applications

Non-Executive Branch Customers should contact their Local Help Desk to get help with installation.

Most executive branch customers may download all applications from Software Center.

• Select the Windows or Search button in the bottom left corner of your screen.
• Search for and choose Software Center from the Search field results.
• Select Applications and scroll down to locate and select the Webex application you want to install.
• Follow the install instructions.
