Vehicle Maintenance and Repair

The State of Minnesota partners with Holman to manage all maintenance for vehicles leased through Fleet Services. Holman ensure state fleet vehicles are operated safely, stay under warranty, and remain cost-effective to maintain.

Preventive Maintenance

Preventive maintenance is critical to safe and efficient vehicle operations. Every leased vehicle comes with preventive maintenance coupon sheets, pre-printed with specific service intervals and requirements. These coupons:

• Act as purchase orders for routine maintenance—no phone call is needed
• Are based on manufacturer-recommended service schedule
• Preventive maintenance should be conducted at least once per calendar year.

Non-Routine Maintenance

For unexpected repairs or vehicle issues:

• Call Holman before any unscheduled maintenance: 1-800-CAR-CARE (1-800-227-2273)
• A Holman technician will discuss your concern and authorize service directly with the repair facility.
• Holman will contact Fleet Services to authorize any required maintenance. A drivers signature is required after the completion of the maintenance to validate the repairs have been completed satisfactorily.
• Unauthorized repairs or repairs authorized directly by the vehicle driver, rather than through the appropriate fleet channels, may be subject to chargeback to the agency.

Emergency maintenance to include towing is available 24/7 by calling 1-800-CAR-CARE.

Maintenance and Repair Record Retention Policy

Whenever maintenance is performed on a state vehicle, the original maintenance and repair receipts must be retained by the fleet coordinator in your department. These records should be maintained in accordance with your department’s approved records retention schedule.
