Vehicle Maintenance and Repair

As part of a continuing effort to improve service, Admin has partnered with Automotive Resources International (ARI) to ensure the safe and cost effective operation of its fleet. Admin has contracted with ARI to provide a Vehicle Maintenance Management program for vehicles leased through Admin. All vehicle maintenance beginning on August 24, 2009 will be authorized and paid by ARI Vehicle Maintenance Management.

Vehicle Maintenance Management

As of August 24, 2009 authorization to perform work on vehicles leased through Admin will come from ARI. A Driver Operating Manual describing the ARI service has been prepared especially for each state vehicle and should be kept in the vehicle at all times. Preventive maintenance and repairs may be performed at any private repair facility or dealership. The vendor must contact the ARI call center for authorization to complete ALL repairs or maintenance. The repair invoice must clearly show the ARI authorization number, and have a driver signature indicating satisfactory completion. Unauthorized repairs may be charged to the agency operating the Admin leased vehicle. The invoice or repair order must be filed with the vehicle papers and saved according to your department retention policy or a minimum of three years. All invoices will be paid by ARI.

Drivers can call ARI at 1-800-CAR-CARE for a list of local community vendors or for other maintenance questions. Vendors are able to enroll in the ARI maintenance program through their website at suppliers.arifleet.com or by calling 888-683-8327.

Preventive Maintenance

Preventive Maintenance Coupon Sheets are available to be used exclusively for preventive maintenance at the mileage intervals and service requirements pre-printed on each coupon. If you have already passed the mileage interval shown, coupons which no longer apply should be destroyed. ARI has developed these service requirements, together with the automobile manufacturers, to ensure:

  1. Safe operation of all vehicles
  2. All warranty requirements are met
  3. Maintenance costs are prudently managed

These coupons will serve as purchase orders for the routine maintenance listed on each coupon so a phone call is not required. However, you are always encouraged to call ARI's certified Service Technicians should you have any service questions or concerns about the operation of your vehicle.

The ARI Vehicle Identification Card is also included to identify the specific Client and Vehicle number of each vehicle. The card is attached to the driver packet including a list of accepting National Account Vendors.

Non-Routine Maintenance

Non-routine maintenance and repairs are handled by ARI certified Service Technicians by simply calling 1-800-CAR-CARE. Please call to discuss problems or concerns you may have with your vehicle prior to taking it in for any unscheduled service. To authorize repair, ARI's Service Technician will speak directly to the authorized service facility.

Emergency Service

For after-hour emergency service in-state and out-of-state, ARI is available 24/7 by phone at 1-800-CAR-CARE (1-800-227-2273).
