Viewing Payments

In this topic you view the payment details page. After completing this topic you should be able to:

- Search for vendor payments

- View a list of payment information that meets the search criteria

- Review payment details for a specific transaction

Note: You must be signed in to the Supplier Portal in order to view payments.


  1. To view payments you must navigate to the Review Payments section of the Supplier Portal. From the Supplier Portal homepage click on the Review Payment Information link. This is located in the Menu section at the top left, in the list of links below the Search box. Click the Review Payment Information link.

  2. The Review Payment Information menu page generally includes three links: Invoices, Payments, and Account Balances. Other topics in this lesson explain how to view invoices and account balances using the corresponding links here; this topic covers only how to view payments. Click the Payments link to view payment information.

  3. When you click the Payments link you may see the Review Payments/Select Vendor page. You will see this page only if your vendor ID has access to respond to bids for other vendors. If so, this page displays a list of vendors that might have payments you need to view. If your ID does not have this access, you will go directly to the Review Payments/Filter Options page. The Review Payments/Select Vendor page is a list of all vendors this vendor ID has access to, arranged in two columns: Vendor Names and Vendor ID. The list is sorted by Vendor ID and you cannot sort by Vendor Name. Also, only the vendor names are clickable links.
  4. When you click a vendor name from the Select Vendor list (or immediately upon clicking the Payments link from the Review Payment Information menu page), the Review Payments/Filter Options page is displayed. This is a search page that allows you to enter various search criteria to try to pinpoint the payment or payments you are looking for. Below the page title at the top of the page is the name of the vendor whose invoices you are searching for. Below this is the Search Criteria section of the page where you can enter the search criteria to filter your search results. The search criteria are:

    Invoice Number: This is the vendor's Invoice Number
    Payment Reference: This is the Minnesota Payment ID
    From Payment Date:
    To Payment Date: Use the date fields to limit your search to a range of dates. By default the To Date is the current date and the From Date is two weeks prior to the current date. You can change either value or leave these fields blank to search for all dates.

    Click the Search button to initiate the search.

  5. Clicking the Search button takes you to the Review Payments/Payments Made page which shows you all of the payments that have been made to the vendor that was selected based on the search criteria provided. At the top of the of the page the Vendor Name is shown and below that two links: Set filter options and Return to Vendor List. Use the Set filter options link to return to the search criteria page and change your search criteria. You may need to do this if your search results include too many items, or the item you are looking for is not displayed in the results. Use the Return to Vendor List link to go back to the Vendor List page where you can select a different Vendor Name and then search for payments for that vendor. This link only appears if your Vendor ID has access to multiple vendors.

    Depending on how many payments meet your search criteria, you may need to scroll through the Payments Made list. There is a vertical scrollbar at the right of the table if the list does not fit on the screen.

    The Review Payments/Payments Made page has the following columns:

    Reference-Indicates the payment ID associated with the transaction. The reference number can be clicked to view additional details about the payment.

    Transaction ID-Need to know what this is
    Payment Date-The date the payment was processed
    Amount-The amount of the payment
    Location-Need to know what this is
    Postal-These fields provide the vendor address associated with payments

  6. Click the a reference number link to see the specific details associated with this payment.

  7. Clicking on the Reference number takes you to the Review Payments/Payment Details page for that payment. At the top of the page is the Vendor Name and then the payment reference number. Verify that you are reviewing the correct reference number. Below the reference number is the payment header. On the left side of the payment header are the Invoice Number, Method, Amount, and Paid To fields. On the right side of the payment header are the Payment Date, Pay Status, Last Action Date, and Currency fields.

    Below the payment information on the payment header is the address information for the payment. Fields include: Country, Address 1, Address 2, Address 3, City, County, Postal, and State. Just below the address information is the From field which indicates Need to know this

    Below the payment header section is the section called Payment Advice. The Payment Advice section provides more details about the payment. The Payment Advice section will likely be wider than the screen, and there is a horizontal scrollbar to enable you to view the additional columns in the section. Starting from the left most column, the Payment Advice section includes the following columns:

    Agency Contact Description-
    Voucher ID-
    Agency Contact Phone #-
    Gross Amount-
    Discount Taken-
    Paid Amount-
  8. Click on the horizontal scrollbar located at the bottom of the page to see the full details on the payment advice.

  9. There are three additional columns at the right of the Payment Advice section. They are:

    Portion Paid to Third Party?-
    Customer Account #-

  10. When you are finished reviewing the Payment Advice section, you can click the Return to Payments Made link to return to the list of Payments Made. This link is at the bottom left of the page. You may need to click the horizontal scrollbar to move back to the left side of the screen, and then the vertical scrollbar to move down and reveal the link.
