Sneak Peek: My Homepage and Navigation

Here's what the new My Homepage and Navigation will look like on the Administrative Portal in December. When you login to the Administrative Portal, you will see My Homepage. The new navigation is tile-based and easy to use. Everyone will see these tiles and navigation features.

My Homepage:
This is the default home page for all users. If you select the home button anywhere in the Administrative Portal, you will always return to My Homepage. It also has a dropdown menu that brings you to all the SWIFT pages that you have permission for. SWIFT pages include Accounting, Procurement, and Quick Reference Guides.

Message Center Tile: The Message Center displays messages regarding any statewide system accessed through the Administrative Portal.

System Status Tile: The System Status page shows the current status of all statewide systems accessed through the Administrative Portal. Look here for information regarding system maintenance or downtime.

SWIFT Electronic Signature Process is Changing in 9.2

The current electronic document signature process will no longer be available in the upgraded version of SWIFT. The State contracted with DocuSign, Inc. to facilitate the electronic signature process and provide support.

Because the signature process is being replaced, agencies using the current electronic signature process in SWIFT must complete any existing signature process prior to the SWIFT Upgrade begin date of November 26.

The signature process for documents that have started, but not completed by the upgrade date, will need to be cancelled and re-routed using the new electronic signature process.

The upgraded signature process uses a person’s email address for routing and no longer requires the signers to create a Supplier Portal or SWIFT account and user ID to be able to sign electronically. When routing electronic documents for signature SWIFT interacts with DocuSign to obtain current information as to the signature status.

More information will be provided on the electronic signature process as SWIFT gets closer to the go-live date.

New OBIEE Self Service Time Entry – Subject Area 

New Self Service Time Entry areas are now available in OBIEE (Oracle Business Intelligence Enterprise Edition), the SWIFT Data Warehouse query and reporting tool.
OBIEE Self Service Time Entry Areas are:

  • Self Service Timesheet
  • Self Service Security
  • Self Service Timesheet Comments
Running reports in SWIFT Data Warehouse requires at least one General Warehouse security role, as well as role(s) for the data (e.g. the combination of Agency Specific Basic Report Developer and Payroll Self Service Data roles). All SWIFT Data Warehouse roles can be found on page 10 of the Security form.
Note: Many current warehouse users already have the necessary security roles. The Payroll Self Service Data role was added to the Security form with the other payroll data roles.
