SWIFT Update (April 14, 2016)

Statewide Systems Availability

All statewide systems will be unavailable due to system maintenance beginning 8 a.m. Saturday, April 23 through Sunday, April 24. Please plan around these dates to minimize interruption of critical business functions.
Statewide systems that will be impacted include:

  • Self Service
  • SEMA4
  • Recruiting Solutions
  • SWIFT (Including Supplier Portal and Mobile Inventory)
  • SWIFT Data Warehouse (EPM)
  • Budget Planning and Analysis System (BPAS)
  • Capital Budget System (CBS)
  • Enterprise Learning Management (ELM)
  • Fiscal Note Tracking System (FNTS)
  • IA Warehouse
Note: While we expect all systems will be operational on Monday, April 25, unforeseen complications may result in a delay. If this happens, we will notify users as soon as possible.

Projects and Grants Dashboard now available in OBIEE

The Projects and Grants dashboard and subject areas will be released to the SWIFT Data Warehouse on Friday, April 15, 2016. These include, but are not limited to:

  • Project MFR Summary reports
  • Project Resource Transaction report
  • Subject areas for agencies to create custom reports and dashboards

The full list of reports and their function are on the first page of the Projects and Grants dashboard.

MMB would also like to thank the agencies and users that attended the user acceptance testing; your support and feedback were instrumental in getting these reports launched!

BlueZone Users Must Change Security Option By April 22, 2016

If you use BlueZone to change your SWIFT or SEMA4 password, you must update your BlueZone security protocol option to “TLSV1” by April 22, 2016. To do this, follow the instructions provided by MN.IT Services in the “Converting BlueZone Sessions to TLSV1” guide.

If you have difficulty making this change, contact your agency’s technical support staff to update your BlueZone security.

After April 24, 2016, the MN.IT mainframe systems will no longer support Secure Socket Layer (SSL) V2 and V3 security protocols. They will use Transport Layer Security (TLS) protocol. This change will improve security and help prepare for the summer upgrade of the mainframe operating system.

Q: What does the “Hold from Further Processing” check box do on a Purchase Order?

A: The “Hold From Further Processing” check box is located in the Purchase Order Header on the right side of the page.

This checkbox allows you to hold a purchase order if all of the information needed to enter the purchase order is not available. You can place a purchase order in "hold" status until you obtain all of the information. By selecting this check box, you cannot:
    •    Dispatch a purchase order
    •    Cancel a purchase order
    •    Close a purchase order

A hold will not stop a payment from being made.

SWIFT Training

To find SWIFT training, open Employee Self-Service and select the Learning folder. Then, search the Catalog using the keyword “SWIFT” to find and enroll in classes currently scheduled. Classes are free of charge and open to everyone.
