Maybe when you type documents like reports, certain sentences are always included such as:

• Prepared by Bob Smith

If so, you might decide to use templates (pre-made emails or documents), which already have your basic text inserted. Now all you need to do is fill in the rest of your message or information. You may decide to have a variety of templates.
